We are in a prickly pickle!

Our lovely, amazing & wonderful BOOKKEEPER/OFFICE ADMINISTRATOR of 12 years is retiring and moving to the beach.  It is certainly well deserved and exciting for her.  Her knowledge and skill set has been an invaluable part of the business.  I am looking for a new member of the team to start ASAP.  

Sadly, we had hired someone who accepted the position and did not show up for her first day which was today.

Job description: BOOKKEEPER/OFFICE ADMINISTRATOR

High-end boutique residential interior design firm has an opening for a bookkeeper/office administrator. Needed a minimum of 25-30 hrs a week.

The candidate’s responsibilities will include general bookkeeping duties such as, but not limited to: AP/AR, payroll, bank and credit card reconciliations, collections, vendor deposits and payments, order tracking, petty cash, and reporting/fee analysis. Additional responsibilities will entail general administrative duties such as: correspondence, troubleshooting with the IT team regarding computer/network systems, maintaining the upkeep of office equipment, filing and seeing to the day-to-day management of office procedures and processes.

Responsibilities include but are not limited to:

*Maintain weekly, company specific financial dashboard

*Conduct and manage reconciliation of all cash & credit accounts

*Work with Business Accountant quarterly to perform budget to actuals variance analysis

*Work with Business Accountant quarterly to update budget

*Work with Business Accountant to properly plan and escrow for specific financial obligations

*Manage bi-monthly payroll, including financial/payroll portion

*Generate other company specific financial reports as needed

*Manage invoice process and payment strategies for vendors

*Work closely with the Project Manager to process all client orders promptly and efficiently to ensure maximum profitability

*Maintain records of financial transactions by posting to accounting system of record, Quickbooks

*Monitor daily all financial outlets (Bank of America accounts, credit cards, ) for transactions

*Process transactions in Quickbooks in an accurate and timely manner (within 2-3 business days)

*Pay all vendor invoices in a timely manner

*File quarterly sales tax with proper jurisdictions

JOB REQUIREMENTS:

*Minimum 2 years bookkeeping/ accounting experience

*Extensive knowledge of Quickbooks

*Experience in the interior design field and with Quickbooks is not required, but candidates with these will be highly considered before those without

*Financial and/or Accounting undergraduate degree

*Self-starter and independently motivated

*Able to manage priorities and multi-task

*Exceptional attention to detail

*Strong organizational and communication skills
